Account Maps

Account Maps lists all of the account mapsMaps that associate accounts in charts of accounts, which underly trial balance data files, to master accounts in a master chart of accounts. You must create and apply these maps to control how trial balance files are merged and summed in the creation of master trial balances. For example, you might map Petty Cash and Other Cash in a chart of accounts to the Cash master account in an account map. When trial balance files are merged to create a master trial balance, all of the Petty Cash and Other Cash accounts in the various files will be itemized and summed under Cash on the resulting master trial balance in accordance with the account map. that administrators have created for the purpose of merging and summing importedTo bring a valid trial balance file into the General Ledger Manager database from the Import Queue. In the import process, only the trial balance data in the file gets brought into the database, all other data being discarded. Imported trial balance files are the files that General Ledger Manager combines into master trial balances. trial balance filesA trial balance file should contain a single trial balance. The records within the trial balance should at least have a reporting unit, general ledger account code, beginning balance (optional), and ending balance. into master trial balancesA Master Trial Balance is a composite of various trial balances, which may be generated from different accounting systems, that shows entities, their master account codes and the beginning and ending balances for those accounts in a spreadsheet format.. It also enables administrators to manage account maps and to create new ones.

How Account Maps is Used

Account maps in the list are made available in the Create Master Trial Balance section of General Ledger Manager based on a year that you choose. You must select an account map to create a master trial balance. Only those account maps whose master chart of accounts year is the same as the account map year that you select in Create Master Trial Balance will be available for selection.

Furthermore, the account map that you select determines the trial balance files that will be available for you to choose for master trial balance creation. The records within the trial balance should at least have a reporting unit, general ledger account code, beginning balance (optional), and ending balance. that were imported with the same charts of accountsNumbered lists of accounts, including the account codes and their names/descriptions, that make up the general ledgers of companies and that form the bases of trial balances. In General Ledger Manager, you must create a chart of accounts for each trial balance file that you will upload. To each chart of accounts, you must attach an import layout for each trial balance file. The charts of accounts and their import layouts will be applied to their respective trial balance files for file validation when the files are added to the application. included in the chosen account map will be available for master trial balance creation in Create Master Trial Balance.

How Account Maps is Sorted

The account maps are sorted in descending order by Most Recent Master Chart of Account Year. You can click the Most Recent Master Chart of Accounts Year column heading to toggle the list of accounts between descending and ascending order. No other sorts may be done on this list.

Data Displayed in Account Maps

The map name, its description, and the year of its master chart of accounts display for each account map in the list.

Functions Available in Account Maps

In addition to viewing/searching the list of account maps in this view, you can do all of the following:

• Create an account map by:

1. Clicking Create an account map.
2. Defining the properties of the account map.
3. Mapping accounts in selected charts of accounts to the master chart of accounts in the account map.

• Control the list view by:

• Sorting the list.
• Grouping the items in the list by name or by year.
